Attendance and Chronic Absenteeism

Attendance will be taken each day via SchoolTool. Students will report to school in person or remotely and attendance will be taken daily. At K-5 levels, the classroom teacher is responsible for attendance. At QMS, attendance will be taken in their guideroom. 9-12 attendance will be taken in block 1. Tiers of intervention are in place for those who are determined to be at risk for disengagement. QUFSD has established protocols for assisting disengaged students and students with excessive absences. Students with excessive absenteeism in remote learning may be required to attend daily, if physical distancing allows.

QES/WHBI

Tier 1

Teacher initiates contact by the most effective way for that family (email, Remind, Class Dojo, phone) to the student(s) or family early in the school week offering to walk through the plan for the week.

  • Tier 1 intervention – offer support, problem solving, and prioritization of work.
  • If contact is not made, a follow up phone call early in the week is placed by the teacher. Primary contacts on school messenger are contacted. Consider calling secondary contacts. If no contact is made via phone call, a follow-up email should be made with the following script:
    • “Hello, I tried to reach you by phone. I would like to help (child’s name) make a plan for his/her school work. Please contact me by (set specific time) so we can connect.”
  • If you leave the number for the school QES: (518-824-1631); WHBI: (518-824-2609), the family can leave a message with the secretary and they can email you that they called.
  • Documentation of contact by teacher using teacher’s own system.

Tier 2

Attendance spreadsheet prioritized. School Counselor attempts to contact (or coordinates contact via another school staff member who has a relationship with the student/parent) the student’s parent/guardian via phone, followed by email.

  • Consider collaboration with special area teachers to engage the student and family.
    • Documentation of contact by the counselor on the spreadsheet.

Tier 3

Administrator contacts the family.

  • If the family is reached and a plan is developed, document the call in a spreadsheet and monitor student participation for 1 week.
  • If participation improves, no additional steps necessary.
  • If there are no signs of immediate improvement,
    • Attendance letter mailed home and emailed to parent email on file.
    • Consider Welfare Check
    • Documentation of letter mailed on the spreadsheet. The teacher(s) are cc’d on the email.

QMS

Tier 1

Teacher initiates communication by the most effective way for that family (email, Remind, phone) to the student(s) or family early in the school week offering support.

  • Tier 1 intervention – offer support, problem solving, and prioritization of work.
  • If contact is not made, a follow up phone call early in the week is placed by the teacher. Primary contacts in SchoolTool are contacted. If no contact is made via phone call, a follow-up email should be made with the following script:
    • “Hello, I tried to reach you by phone. I would like to help (child’s name) make a plan for his/her school work. Please contact me by (set specific time) so we can connect.”
  • Leave the number (518) 824-3607, and the family can leave a message with Deb, which will be forwarded to you so you can return the call.
  • Use the Grade Level Communication Log for documentation of contact by teacher

Tier 2

Grade Level Communication Log is prioritized and discussed at weekly Team Mtgs. School Counselors in addition to teachers will repeat attempts to engage via phone with families.

  • Document contact attempts in the Grade Level Communication Log.

Tier 3

Administrator contacts the family.

  • If the family is reached and a plan is developed, document call in Grade Level Communication Log and monitor student participation for 1 week.
  • If participation improves, no additional steps necessary.
  • If there are no signs of immediate improvement,
    • Attendance letter mailed home and emailed to parent email on file.
    • Documentation of letter mailed on the Grade Level Communication Log. The teacher cc’d on email.

QHS

Tier I

  • Teacher initiates phone call to student(s). If no contact is made via phone call, a follow-up email should be made. Google Meet invitation to Office Hours (2-2:40 p.m.). After attempting to make student/parent contact – Attendance Form submitted.

Tier 2

  • Attendance spreadsheet prioritized. The school counselor attempts to contact students via phone, followed by email. Robo calls.

Tier 3

  • Attendance letter mailed home to student. Follow up phone call by administration. Possible home visit if needed.
